LabMed Billing ("LabMed Billing," "we," "us," or "our") provides laboratory billing, coding, credentialing, insurance verification, and accounts receivable management services to clinical laboratories, pathology laboratories, and diagnostic testing centers. This Privacy Policy explains how we collect, use, disclose, and protect information in connection with our website and our services.

Because our services involve processing protected health information (PHI) on behalf of laboratories and healthcare providers, this policy also addresses how we handle PHI in our capacity as a HIPAA Business Associate, separate from general website data.

This policy covers two distinct categories of information:

Website and business contact information — information collected when you visit our website, submit a contact form, or communicate with us directly as a prospective or current client.

Protected health information (PHI) — patient information we receive from laboratory clients in order to perform billing, coding, credentialing, denial management, insurance verification, or accounts receivable services on their behalf.

PHI is handled under the terms of a Business Associate Agreement (BAA) with each client and in accordance with the HIPAA Privacy and Security Rules, not under general website privacy practices.

PHI received from client laboratories is used solely to perform the billing, coding, credentialing, denial management, insurance verification, or accounts receivable services specified in our agreement with that client. We do not use PHI for marketing purposes or disclose it outside the scope of our Business Associate Agreement and applicable law.

With insurance payers — as necessary to submit claims, verify eligibility, appeal denials, or follow up on accounts receivable on behalf of our clients.

With subcontractors — where a subcontractor requires access to PHI to support our services, that subcontractor is bound by equivalent HIPAA protections.

As required by law — including in response to a valid legal request or regulatory obligation.

We do not sell website visitor information or PHI to third parties.

We maintain administrative, technical, and physical safeguards designed to protect PHI and business information in accordance with HIPAA Security Rule requirements. These safeguards include access controls, encryption of data in transit, and monitoring of systems that process PHI. No method of transmission or storage is completely secure, and while we work to protect information using industry-standard practices, we cannot guarantee absolute security.

We retain PHI and business records for as long as necessary to fulfill the services outlined in our client agreements and to comply with applicable legal, regulatory, and contractual retention requirements, after which records are securely disposed of or returned per our Business Associate Agreement terms.
